A clean handover protects the client's work and helps your agency close the project without weeks of follow-up questions. Start planning the exit before the engagement ends: confirm the end date, the deliverables and who owns each account.

Agree what "finished" means

Review the contract and change log with the client. List finished deliverables, work in progress, outstanding approvals and anything outside scope. Assign an owner and a date to every unresolved item. If the engagement is ending early, record the agreed handling of unfinished work in writing.

Copy the offboarding checklist

  • ☐ Confirm the end date, client contact and final meeting.
  • ☐ Inventory websites, domains, analytics, ads, social profiles, repositories and subscription accounts touched by the agency.
  • ☐ Identify the legal owner and administrator for each account.
  • ☐ Deliver agreed files in readable formats with a simple directory index.
  • ☐ Provide the latest reports, open issues and planned next actions.
  • ☐ Transfer access through each provider's supported user and ownership controls.
  • ☐ Ask the client to verify they can sign in before agency access is removed.
  • ☐ Coordinate any necessary credential rotation with the authorized account owner through an approved secure process.
  • ☐ Confirm which subscriptions the client will take over and which the agency will cancel.
  • ☐ If applicable, handle final invoicing and any outstanding balance under the agreement.
  • ☐ Remove agency access after verification and according to the agreement.
  • ☐ Identify applicable contractual and legal retention requirements before agreeing deletion dates; account for backups and preservation obligations.
  • ☐ Close internal tasks and archive the project.

Create a handover inventory

Asset Current owner New owner Transfer action Client verified?
Website hosting [Name] [Name] [Action] [Date]
Analytics [Name] [Name] [Action] [Date]
Creative files [Name] [Name] [Folder link] [Date]

Avoid sending passwords in a plain email. Use delegated access or the provider's ownership transfer where possible. Your checklist should describe the result, not merely say "credentials sent."

Run the final meeting

Walk through the inventory and the final report. Show where the client can find source files and what must be renewed next. Ask them to test access while you can still resolve problems. Send a written recap with open actions and owners the same day.

Close the loop internally

Record the reason for the ending without turning it into a blame exercise. Note which requests consumed unexpected time, which handoffs failed and whether the original onboarding could have prevented them. Update your client onboarding checklist accordingly.

Editorial notes — remove before publication

Adapt retention, contract and account-transfer details to the agency's actual agreements and jurisdiction. Verify internal links. This is an operational template, not legal advice.
