Choose reporting software by writing down the decisions your clients need to make each month. A polished dashboard is useful only when its numbers are correct, its access is appropriate and your team can maintain it.
Define the job before the product
For each client, record the channels, goals, reporting frequency, required metrics, recipients and delivery format. Separate essentials from preferences. If a client only needs one simple monthly summary, a carefully maintained document may be enough.

Test one representative report
Use the same reporting period and source accounts for each shortlisted product. Compare major numbers to the original data sources. A discrepancy can come from filters, attribution, time zone or delayed updates, so investigate before assigning blame. Record setup time and the manual work needed to add meaningful commentary.
Test a deliberately missing source, an invited client and a report correction. See whether the team notices the problem before the report goes out. Ask the vendor about permissions and retention if client agreements impose specific rules.
Work out the real cost
For five, ten and 25 clients, count required dashboards or client units, users, sources, add-ons and annual versus monthly billing. Add migration time and the hours spent reviewing and repairing reports. Verify prices directly with each vendor for your exact configuration.
Make a decision you can revisit
Record the chosen product, its limitations, the report owner, a fallback process and the next review date. Run the old and new reports in parallel for one cycle when moving an established client. Keep an export of final reports according to your retention policy.
For a vendor shortlist, see SEO client reporting tools. For the delivery process, use the monthly reporting checklist.
